Administrative Assistant to the Dean of Undergraduate Studies & Nursing Office Manager

Overview
Mount Marty University is accepting applications for a full time position as the Administrative Assistant to the Dean of Undergraduate Studies & Nursing Office Manager. The successful candidate would work to assist the deans in all aspects of their work by researching, compiling, and following through on numerous projects to ensure academic programs runs smoothly. 
 
Duties & Responsibilities 
  • Academic Affairs
    • Help the dean with managing projects across offices, divisions, and departments.
    • Organize and manage personnel files.
    • Support faculty with their administrative tasks and duties regarding accreditation and external stakeholder engagement.
    • Serve as recording secretary at various meetings as requested (e.g., Division Chairs, Graduate Council, NFO etc.).
    • Assist in coordinating campus visits as needed (HLC, applicants, consultants, lectures, academic program workshops/seminars, etc.).
    • Set up monthly meetings for Academic Affairs, Academic Dean & faculty (Academic Senate, Division Chairs, Divisions, Graduate Council, NFO, etc.).
    • Assist in daily informal management of select Academic Affairs staff (project deadlines with Division Chairs, daily faculty/student issues, etc.).
  • Nursing and Health Sciences
    • Maintain the confidentiality of academic and clinical records of Nursing program applicants, students, and graduates.
    • Organize activities and prepares reports to maintain division compliance with CCNE accreditation standards and SDBON rules and regulations.
    • Maintain an accurate and current database for each FNP, PMHNP, and DNP clinical/practice experience course(s) to include student and preceptor/mentor contact information.
    • Coordinate Nursing program(s) applicant materials with the division Admissions and Progression Committees, the Office of Admissions, and the Registrar.
    • Collaborate with track coordinators in the Division of Nursing to facilitate evaluation of clinical students, preceptors/mentors, and sites Collaborate with track coordinators in the Division of Nursing to implement on-line evaluation processes for current students and graduates, faculty, course and program outcomes, preceptors/mentors, clinical sites, and other assessments as needed.
    • Maintain electronic database of all clinical contracts and assure copies are filed with the MMU Business Office.
 
Qualifications
  • Bachelor's degree
  • A minimum of five (5) years' experience in a similar office management position
  • Proficiency in Windows, Office, Word, Excel, Access, PowerPoint, & Google
  • Commitment to the mission of Mount Marty University 
  • Organizational skills; ability to handle overlapping tasks
  • The ability to work in a deadline driven environment
